The Client 

Mount Sinai Hospital is a 472-bed health care facility dedicated to delivering the best in patient care and cutting-edge research. Each year the Toronto, Ontario-based hospital delivers more than 6,000 babies and admits more than 25,000 patients. The hospital employs more than 4,500 staff, supports the education of numerous healthcare professionals, and has a devoted auxiliary of 2,000 volunteers.  The hospital validates excellence by tracking and analyzing data from all of its departments. A detailed scorecard is created, which provides an accurate picture of the hospital’s performance in meeting its strategic objectives.

The Envision IT Solution 

While the current score-carding process was highly valued and key to measuring the hospital’s performance; the process to create the scorecard was time-consuming and resource intensive. Mount Sinai Hospital uses a number of different systems that store patient data including length of stay, costs, procedures, volumes, demographics, and other related information. A process involving a combination of manual data feeds, Crystal Reports® and Microsoft® Office Excel® spreadsheets was employed to achieve results for the scorecard. This process often involved delays, as many analysts were involved with the collection and verification of the data through this intensive, manual method.

Envision IT recommended that Mount Sinai Hospital implement a 2007 Microsoft Office System along with SQL Server 2005 for its business intelligence (BI) needs. As a result, Mount Sinai is expecting a 50 per cent reduction in the time devoted to creating and populating its case-mix analysis for the Centres of Excellence Scorecards. Leveraging the data visualization, PivotTable views and results-oriented interface of Microsoft Office Excel 2007, Envision IT created a solution that automated the data collection process and allowed the analysts to create reports in significantly less time. Envision IT designed a data warehouse based on SQL Server 2005 to store data that was retrieved from the hospital’s other databases. To automate the reporting process, an Extract, Transform and Load (ETL) process was built to automatically retrieve data and populate the data warehouse.

Envision IT then designed an analysis cube using SQL Server 2005 Analysis Service to create a method to analyze the data. The cube creates a summary of the data allowing users to connect, analyze, and retrieve the data much quicker and with more accuracy than they could manually. Instead of retrieving the data on a quarterly basis to create the reports, analysts can now access the data at any time. The analysts can now provide reports to Senior Leadership based on department, the type of procedure, by age, by gender, or any other dimensions required. Mount Sinai Hospital expects a significant reduction in the amount of time needed to generate a case-mix analysis report for the Centres of Excellence scorecards. The staff anticipates that the new system will enable them to create scorecards in just a few days, down dramatically from the previous 7 to 10 days typically required.
