Control Your Microsoft 365 Lifecycle Management

The story of building a provisioning solution to create template sites has been around since the early days of SharePoint. With the emergence of Microsoft 365 Groups and Teams, provisioning strategies and tools have evolved to accommodate these additional applications, including our own open source solution. These solutions have lacked when looking at the holistic lifecycle of a workspace.

Teams are being created at an outstanding rate showing the successful adoption of the platform. What isn't happening and should be, is the proactive management surrounding the Teams, SharePoint Sites, and Microsoft 365 Groups that are being created. Asking the simple questions like;

• What is the purpose of the Team?
• How long do you estimate the Team needs to be active?
• Who are the members of the Team? (internal versus external)
• How do you manage member turnover?

These questions and many more all need to be addressed and proactively managed by your organization to stay ahead of sprawl and end of life. You need to recognize the potential security gaps and compliance issues that are open when inactive workspaces are not cleaned up, and if you do clean them up what archival and retention process needs to be in place.
